Plain-Language Summary
This summary is a courtesy and is not legally binding.
- We collect only what we need to run PickleDash: your account details, the club and member information you enter, contact-form and newsletter emails, and website analytics.
- We never sell your data, to anyone, ever.
- Analytics are on consent. We use Google Analytics, which loads only if you accept on our cookie banner. You can accept, reject, or change your mind.
- Your members' data is yours. You control it; we only process it to run the Service for you.
- You can access, correct, or delete your data and withdraw consent at any time.
1. Who We Are
PickleDash ("we", "us") operates the PickleDash platform at pickledash.com, a web service for pickleball club management. We are based in the Province of Québec, Canada. You can reach us anytime at info@pickledash.com.
For the member information that club managers enter into the platform, the club is in control of that data and we handle it only to run the Service on the club's behalf. We do not sell it or use it for our own purposes.
2. What We Collect
- Account information — your name, email, hashed password (we cannot read it), and your club's name, location, and court setup.
- Club and member data you enter — member names, contact details, skill level, attendance, payment records, and league participation. You provide this and you decide what to enter.
- Contact and newsletter email — if you write to us or sign up for our newsletter, we keep your email and message to reply and to send updates you asked for.
- Payment information — paid-plan billing is handled by our third-party payment processor. We receive records such as amount and status; we never see or store full card numbers.
- Website analytics — if you consent on our cookie banner, Google Analytics collects aggregate usage data (pages viewed, general device and browser type, referral source) to help us improve the site. If you don't consent, no analytics are collected. See our Cookie Policy.
We do not collect government IDs, health or biometric data, or data from third-party ad trackers.
3. Why We Use It
We use this information to provide and improve the Service, manage your account, process payments, send service-related messages (like account and billing notices), reply to your enquiries, send newsletters you opted into, keep the platform secure, and meet our legal obligations. We do not use your data for advertising or for selling to third parties.
4. Who Helps Us Run It
To deliver the Service we rely on a small number of trusted service providers, including a payment processor for billing, an email-delivery provider, reputable third-party cloud infrastructure providers for hosting, and Google Analytics for consent-based website analytics. These providers handle data only as needed to perform their function and are bound to protect it. We do not share your data with advertising networks or data brokers.
5. How Long We Keep It
We keep your data while your account is active. After you cancel or close your account, we keep it for a reasonable period so you can export it, then delete it, except where we must retain certain records (such as payment records) to meet legal or tax obligations. Contact-form and newsletter data is kept until you ask us to delete it or unsubscribe.
6. Your Rights
Under Québec's Law 25 and Canada's PIPEDA, you can:
- Access the personal information we hold about you;
- Correct inaccurate information;
- Delete your data or close your account;
- Withdraw your consent to processing or to communications at any time (for example, by unsubscribing or rejecting analytics on the banner); and
- Be informed of a security incident involving your personal information that poses a real risk of serious harm.
To exercise any of these, email info@pickledash.com. We will respond within the timeframe required by law and may ask you to confirm your identity first.
If you are in the European Union (GDPR) or California (CCPA/CPRA), you have similar rights, including access, correction, deletion, portability, and the right to object to or restrict certain processing. We do not sell personal information. Contact us the same way and we will honour those rights.
7. Where Your Data Is Processed
We are based in Québec and our providers may process data in Canada, the United States, or elsewhere. We use providers that commit to appropriate safeguards for the personal information they handle.
8. Children
PickleDash is intended for club managers who are at least 18. If your roster includes minors, you are responsible for obtaining any consent required before entering their information.
9. Security
We use reasonable technical and organizational measures to protect your data, including encryption in transit, access controls, and password hashing. No system is perfectly secure, but we work to keep your information safe and will notify affected users of a serious breach as required by law.
10. Changes
We may update this Privacy Policy. For material changes, we will give reasonable advance notice and update the date above. The current version is always at pickledash.com/legal/privacy.
